Privacy policy

This policy explains what personal information Cardiac Imaging Academy Ltd ("we", "us", "the Academy") collects when you use our website or enrol in our programmes, what we do with it, and your rights under the UK GDPR.

What we collect

When you visit cardiacimagingacademy.co.uk we collect minimal anonymous analytics (page views, referring site, country) through a privacy-respecting analytics provider. We do not use third-party advertising cookies.

When you enrol, join a waiting list or contact us, we collect: your name, professional title and specialty; your email address and, if you give it, your telephone number; your institution and country of practice; payment information, which is processed by Stripe or Podia and is not stored by us; and, where relevant, documents supporting trainee status, trust invoicing or visa letters.

How we use it

We use your data only for the purpose you provided it: delivering the course or Fellowship you have bought, administering your enrolment, issuing invoices and certificates, supporting your accreditation application after the course, and, where you have opted in, occasional news of new programmes.

We do not sell your data or share it with marketing partners. We share it only with the service providers needed to deliver the programme (payment processing, course platform hosting, accounting), each of which is contractually bound to comparable data protection standards.

Your rights

Under the UK GDPR you may ask to access, correct, port, restrict or delete your personal data, object to processing, withdraw consent to marketing, and complain to the Information Commissioner's Office. To exercise any of these rights email privacy@cardiacimagingacademy.co.uk. We respond within 30 days.

Retention

Delegate records are kept for seven years after your last enrolment, in line with HMRC requirements for accounting records. Marketing list addresses are kept until you unsubscribe. Anonymous analytics are kept for 24 months.

Cookies

We use only essential cookies, for course platform login and checkout. We do not use third-party advertising cookies.

Terms and conditions

By enrolling on any Cardiac Imaging Academy programme you ("the delegate") accept these terms. Cardiac Imaging Academy Ltd is a private company limited by shares, registered in England and Wales.

Our services

The Academy provides postgraduate medical education: the Level 1 and 2 Cardiac CT Course (live online, six days), one-day courses for radiographers in cardiac CT and cardiac MRI, and the Fellowship membership. The doctor course is intended for qualified medical practitioners, senior trainees and reporting radiographers working within their trust's advanced practice governance.

The Academy is an educational provider, not a regulator. Certificates issued by the Academy contribute towards, but do not in themselves confer, BSCI/BSCCT accreditation or SCCT verification or certification. Those are awarded by the British Society of Cardiovascular Imaging and British Society of Cardiovascular CT, and the Society of Cardiovascular Computed Tomography, on submission of evidence that includes, but is not limited to, course completion.

Eligibility

Delegates must hold the professional registration and indemnity appropriate to viewing anonymised clinical material in an educational setting. We may verify eligibility and may decline or refund an enrolment where eligibility cannot be confirmed.

Conduct

Live sessions are educational and confidential. Delegates may not record sessions, redistribute course materials or share case material outside the course environment. We may remove, without refund, a delegate who breaches these requirements. Harassment, discrimination or unprofessional conduct of any kind is not tolerated.

Intellectual property

Course materials, recordings, slides, case libraries and reporting templates remain the property of Cardiac Imaging Academy Ltd. Delegates receive a personal, non-transferable, non-commercial licence to use them for their own professional development. They may not be redistributed, resold or used to deliver competing teaching.

Liability

The Academy provides training in good faith. We do not accept liability for clinical decisions made by delegates in their own practice. Delegates remain responsible for their own clinical practice within the scope of their training, registration and local governance. We do not exclude or limit liability for death or personal injury caused by negligence, for fraud, or for any liability that cannot lawfully be excluded under English law.

Governing law and changes

These terms are governed by the laws of England and Wales and disputes are subject to the exclusive jurisdiction of its courts. We may update these terms; the current version is always at this address, and material changes affecting current enrolments are notified by email at least 30 days in advance.

Refund and cancellation policy

14-day cooling-off period

Under the Consumer Contracts Regulations you may cancel within 14 days of purchase for any reason and receive a full refund, provided the course has not yet started. If the course has begun within those 14 days because you booked late, you may still cancel, with a pro-rata deduction for sessions already delivered. To cancel, email hello@cardiacimagingacademy.co.uk with your enrolment details. Refunds are processed within 14 days.

Cancellation after the cooling-off period

• More than 60 days before the start date: 90 per cent refund (10 per cent administration fee).
• 30 to 60 days before the start date: 50 per cent refund.
• Less than 30 days before the start date: no cash refund, but your place may be transferred to a future date within 12 months at no charge.
• Once the course has begun: no refund, but in a demonstrated emergency (illness, bereavement, professional crisis) we may transfer your place to the next date at our discretion.

Fellowship

The Fellowship is a rolling monthly subscription with no minimum term. Cancel at any time; access continues to the end of the current billing period. Fellowship months included with the course are refunded at £75 for each unused month if you cancel within the included period.

If we cancel

If we cancel a course date for any reason, you receive a full refund within 14 days or, if you prefer, a guaranteed place on the next date.

Complaints

If you are dissatisfied with any aspect of a programme, email complaints@cardiacimagingacademy.co.uk. We aim to resolve complaints within 14 days. If we cannot resolve a complaint to your satisfaction, you may seek alternative dispute resolution through Citizens Advice or, for trust-funded delegates, your trust's complaints route.
